1. Privacy at a glance

We take the protection of personal data seriously. Personal data is processed on this website and within MedicScreen only where necessary to operate the website, handle enquiries, administer waiting-room TVs internally and meet contractual or legal obligations. We do not use analytics or marketing cookies without consent; necessary session cookies may be used for internal administration and technical operation.

3. Hosting and server log files

The website and MedicScreen application run on a server. Technically necessary access data such as IP address, time of access, URL accessed, transferred data volume, referrer URL, browser type, operating system and server status may be processed to provide the website securely and reliably, analyse errors and defend against attacks. The legal basis is Article 6(1)(f) GDPR.

4. Contact forms and enquiries

When you contact us through a form, we process the data you enter, particularly name, practice name, email address, phone number, practice type, number of planned TVs, details of existing equipment, callback preference and your message. We use this data to answer your enquiry, prepare a consultation and, where appropriate, prepare an offer. The legal basis is Article 6(1)(b) GDPR for pre-contractual measures, otherwise Article 6(1)(f) GDPR.

5. Internal administration

The public customer area is not available. For internal administration, we process platform-administrator access data and necessary practice, contract, TV and content data. Passwords are not stored in plain text. Email security codes and, optionally, authenticator codes may be used for sign-in. Processing is necessary for secure internal administration and contract performance.

6. Uploads and media

Images, logos, documents and other media that are provided for use in MedicScreen are processed to create, manage and display practice content. Only authorised persons have access to the internal administration area.

7. Waiting-room TV and player

For paired waiting-room TVs, a device token, technical configuration data and content assigned to the device are processed. For general practice information, no patient data is required. If the optional patient-calling function is used, the local bridge transfers only the call number and room required for display.

8. Weather plugin and external services

If booked, the weather plugin processes the practice location to retrieve local weather information. The service does not require patient data. Where technical services such as geocoding, email delivery or weather data are used, data is processed only as necessary for the respective function.

9. Cookies and consent

Technically necessary cookies are used for secure operation, internal sign-in and paired devices. Optional visit statistics, enquiry measurement and Google Ads are only activated after consent. Enquiry measurement records the source page, form type, link clicks, form starts, successful submissions and submission errors with a random browser identifier and date. No form contents are included. The statistics help us improve our enquiry process. You can withdraw your choice by deleting website data in your browser.

10. Storage period

Personal data is stored only for as long as required for the respective purpose. Contract and invoice data is retained in accordance with statutory retention obligations. Contact enquiries are deleted once they are no longer needed and no statutory retention obligations apply.

11. Recipients of data

Only parties that require personal data for the purposes described receive access. This may include hosting providers, email providers, technical service providers, payment or accounting providers and external services for geocoding and weather data. Data is not passed on to third parties for advertising purposes.

12. Your rights

Subject to the requirements of the GDPR, you have the right to access, rectification, erasure, restriction of processing, data portability and objection to certain processing. Where processing is based on consent, you may withdraw it at any time with effect for the future. You also have the right to lodge a complaint with a data-protection supervisory authority.
